01About these terms
These terms are an agreement between Checked and Ready (“we”) and the care provider that opens an account (“you” or “your agency”). By starting a trial or a paid plan, the person signing up confirms they are allowed to agree to these terms for the agency.
Checked and Ready is for businesses. It is not offered to people as consumers.
02The service
Checked and Ready helps you record and track your staff’s training, certificates and registration, remind people before things run out, and produce reports.
It is a tool to support you. It does not replace your own judgement or your duties to your regulator, such as the Care Inspectorate, the Care Quality Commission, Care Inspectorate Wales or RQIA. The rules we set for each nation are based on published guidance, and you should check they fit your service.
03Accounts and access
- Managers must keep their sign in details private and use two step sign in.
- Staff can only join through an invite sent by your agency. You are responsible for who you invite and for removing access when someone leaves.
- Tell us straight away at hello@checkedandready.com if you think an account has been used without permission.
04Free trial, fees and payment
New agencies get a free trial with no card needed. When it ends, you can choose a paid plan or leave and export your records. Prices are shown on our pricing page.
- Plans are charged monthly or yearly in advance, based on the number of staff on your account.
- If your team grows past your plan, we move you to the right plan from your next bill and tell you first.
- We give at least 30 days’ notice of any price change.
- If a payment fails, we will contact you before limiting access.
05Your data
The records you put into Checked and Ready belong to your agency. You are the controller of your staff’s personal data, and we process it only on your instructions, as set out on our data protection page, which forms part of these terms.
You are responsible for having a lawful reason to keep your staff’s records, for telling your staff how their information is used, and for the accuracy of what you enter.
06Using it fairly
You agree not to:
- upload anything unlawful, or personal information you have no right to hold
- upload health records or other sensitive information the service is not designed for
- try to access another agency’s records, or test our security without our written permission
- copy, scrape or resell the service, or use it to build a competing product
07Availability and changes
We work hard to keep Checked and Ready available and will tell you about planned maintenance in advance on our service status page. We may improve or change features over time. If we remove something important to you, we will tell you first.
08Ending the agreement
You can cancel at any time from your account settings. Your access continues until the end of the period you have paid for.
We may suspend or close an account that breaks these terms or puts other agencies at risk, and we will explain why. After any account closes, you have 30 days to export your records before we delete them, as described on our data deletion page.
09Our responsibility to you
Nothing in these terms limits liability that cannot be limited by law, such as for death or personal injury caused by negligence, or for fraud.
Otherwise, we are not responsible for indirect losses, such as lost profit or lost contracts, and our total responsibility in any 12 months is limited to the fees you paid us in that time. We are not responsible for decisions you make based on the information in your account.
10Law and disputes
These terms are governed by the law of Scotland, and the Scottish courts deal with any dispute. Before that, please talk to us. Most problems are solved quickly, and our complaints page explains how.
11Changes to these terms
If we change these terms, we will update the date at the top and tell account managers by email at least 30 days before a significant change takes effect.
